Five steps

Statements by email is on the Professional plan and above.

01

Find your address

Settings → Statements by email shows your organisation’s own address. Only emails sent to it are accepted. An administrator can change it at any time; the old one then stops working.

02

Send or forward statements

Ask your bank, fund manager or custodian to email statements to the address, or forward them yourself. CSV, Excel and PDF attachments work. For a password-protected PDF, enter the password once; you can save it for that account.

03

Bank statements

On the Bank statements tab, each statement is read, its running balance is checked and it is cut into the account’s periods. It is filed by the account number on it, or by the sender once you have filed one from them, and offered when that period’s reconciliation starts.

04

Investment statements

On the Investment statements tab, valuation statements from fund managers, custodians and registrars are read for their holdings. Brillrec checks that the holdings plus cash come to the portfolio value, files the statement to the investment account with the same account number, and uses it as the custodian’s side of the holdings reconciliation at that date.

05

Choose an account when asked

Anything Brillrec cannot place with certainty shows Needs an account. Choose the account and later statements from that sender follow. Undo takes a statement back out; Discard removes one sent by mistake.

Common questions

Quick answers.

A bank statement covers only part of the month.

It waits for the rest. When another statement brings the missing days, the two are joined and checked again. You can also choose Use it as it is.

A valuation statement is dated in the middle of the month.

Holdings at the middle of the month are not the month-end position, so it waits for the statement at the period end. A weekend or holiday before the end is fine. You can still choose Use it as it is.

The reconciliation for that period has already started.

Brillrec never changes a reconciliation that has started. For a bank statement, open the reconciliation and use More → Bring in the emailed statement, which shows what would change first.

Which valuation statement layouts are read?

Statements with a holdings section, such as “Holdings”, “Portfolio positions” or “Securities held”, in PDF, Excel or CSV. If one is not read, email an example with the figures removed to hello@brillrec.com.
