to your books.

01 / What you bring in

Four sources, two optional.

  • The cleared e-invoices: your access point provider’s or the portal’s export (CSV or Excel), or UBL XML files, singly or in a zip. Columns are found by their headings and remembered.
  • The ledger’s sales invoices and credit notes.
  • Optionally, bank receipts; optionally, the VAT output account movement and the VAT return figure.
  • Brillrec reconciles e-invoices. It does not submit them to the NRS.
02 / Matching and exceptions

Every exception has its reason.

  • Invoices are matched by invoice number, then IRN, then the customer’s TIN with the amount (within your tolerance) and the date (within 3 days). Credit notes are matched to the invoices they reverse.
  • Exceptions: never cleared; not in the ledger; amount or VAT different; rejected or cancelled but still in the ledger; credit note not reported; customer TIN missing or different; B2C sales not fully reported; timing; paid but not cleared; cleared but not paid; and the VAT check.
  • Explain exceptions one by one, or all of one kind together; each is recorded against its invoice. Start a journal from any exception with an amount, or export them as CSV.
03 / Sign-off

Signed off by someone else.

  • Submit the reconciliation and someone else signs it off. The month’s E-invoicing task in Close follows, and so does the control that checks e-invoices are cleared and agreed to the ledger.
  • The E-invoicing template in Close has the monthly steps: export, reconcile, resolve, and agree VAT before the 21st. (Professional and Business plans.)
