Help centre / Journals

Journals approved
before they are posted.

Prepare, approve and post or export the entries that clear your reconciling items.

01 / Preparing

Start where the difference is.

  • Write a journal in Reconciliation › Journals › New journal, or start it from a reconciliation’s selected open items (Journal… on the selection bar), its adjustments (Export menu), a flagged account in balance review, or an e-invoice exception.
  • Each line has an account code and name, a description, and a debit or a credit. The journal must balance before it can be submitted.
  • Give the reason and attach the support: files or links, kept encrypted like all evidence.
02 / Approval

Never approved by its preparer.

  • A journal is prepared, submitted, then approved by someone else.
  • Settings › Sign-off & journals sets the largest journal an approver and a manager can approve. Admins have no limit.
  • Review notes block approval until they are resolved. A returned journal goes back to its preparer. Every step is in the audit log.
03 / Posting or exporting

Into your ledger.

  • With a connected accounting system (QuickBooks, Sage, Xero, Zoho Books or Business Central), an approved journal can be posted straight to it. Accounts are found by code; a line whose account isn’t in the chart stops the posting before anything is sent. (Professional and Business plans.)
  • Otherwise, export it in your system’s import layout: a general CSV, desktop Sage, Business Central, SAP Business One or Odoo. The export date is recorded as the posting date, and you can add the posting reference afterwards.
  • Items the journal came from are marked as entries to post and carry forward until the ledger line matches them. A posted journal is reversed, never cancelled.
